As part of the tireless efforts made by Al-Furat Al-Awsat Technical University to develop academic work and promote digital transformation in student affairs management, under the direction of the University President, Professor Hassan Latif Al-Zubaidi, the Graduate Studies Department at the University Presidency held a scientific seminar on the mechanism for implementing and designing a program for managing exam grades, master sheets, and grade documents for graduate students. This program uses Excel in accordance with the latest technical standards.

It is worth noting that the new system aims to:

■ Automate the process of documenting academic grades in an organized and accurate manner.

■ Reduce the effort and time required to prepare master sheets and academic documents.

■ Enhance transparency and accuracy in monitoring and managing exam grades.

■ Facilitate the procedures for issuing official documents for students and graduates.

For his part, the Director of the Graduate Studies Department explained that the symposium discussed several important topics, most notably:

■ Introduction to the New System: A detailed presentation of the program designed to manage exam grades, master sheets, and documents related to graduate studies, and its objectives in improving academic work efficiency.

■ Technical Features of the System: The system’s design was explained using Excel, with a focus on the accuracy of calculations, ease of data entry, and the ability to generate reports with high efficiency.

■ Pilot Test Results: A review of the results of implementing the system on graduates of Najaf Technical College from previous years, which demonstrated complete consistency with the results, reflecting the accuracy and efficiency of the program.

■ Expected Benefits of Implementing the System: The importance of the program in reducing human error, accelerating grade documentation processes, and enhancing transparency in the issuance of official documents was highlighted.

■ The symposium witnessed interactive dialogues and discussions among the attendees about the mechanisms for developing the system and the possibility of expanding its use to include all academic levels. Proposals were also made to improve the technical and administrative performance of the system. The symposium concluded with several recommendations, the most important of which were:

■ Officially adopting the program for managing grades and documents related to postgraduate studies.

■ Providing training courses for academic and administrative staff to familiarize them with the mechanisms for using the program effectively.

■ Continuously updating and developing the system to keep pace with the university’s changing requirements.

■ Studying the possibility of integrating the system with other electronic databases to improve information integrity and accessibility.

■ At the conclusion of the symposium, the university president, Professor Hassan Al-Zubaidi, expressed his sincere thanks and appreciation to all those involved in this achievement, commending the great efforts made in designing and testing the system. He also emphasized the importance of continuing to develop digital solutions that contribute to improving the efficiency of academic and administrative work within the university.
